Privacy notice.

How we collect, use and protect personal information when you visit our website or contact productivity kick.

Who we are

This website is operated by PRODUCTIVITY KICK LTD, trading as productivity kick. We are registered in England under company number 15426001. Our registered office is 2 Claridge Court, Lower Kings Road, Berkhamsted, England, HP4 2AF, United Kingdom. We are the data controller for personal information collected through this website. For privacy enquiries, email info@productivitykick.com.

Information we collect

When you contact us through our website, we collect the information you submit, which may include your name, email address, time zone, website address (if provided), and the details of your enquiry. If you email us directly, we receive your email address, message and any information you choose to include. We may also retain subsequent correspondence. Please avoid including unnecessary sensitive personal information. If you accept analytics cookies, Google Analytics collects information about your visit, as described under “Cookies and analytics” below.

How we use your information

We use this information to understand and respond to enquiries, discuss potential work, arrange conversations and maintain appropriate records of correspondence. If you become a client, we may use relevant information to provide services, manage our working relationship and comply with legal obligations. We do not use contact form submissions for unsolicited marketing.

Our lawful bases

We rely on legitimate interests to respond to business enquiries and keep reasonable records of communications; steps taken at your request before entering into a contract, or performance of a contract, where applicable; and legal obligations where we must retain or disclose information by law. Our legitimate interest is in operating our consultancy and responding to people who contact us, balanced against their privacy rights. Where you accept analytics cookies, we rely on your consent to set them and to collect information about how you use our website; you can withdraw it at any time (see “Cookies and analytics”).

How the contact form works

Our website contact form is provided by Zite. When you submit it, your enquiry is stored in our Zite database and a copy is sent to us by email. We use this information to respond to you. Our email provider and Zite therefore process information in connection with your enquiry. We limit access to those who need it for business purposes and take reasonable steps to protect it.

Who we share information with

We do not sell or rent your personal information. We use service providers for the contact form and database (Zite), website analytics (Google), email delivery and correspondence, and website hosting. These providers may process personal information as part of delivering their services. We may also share information where legally required or necessary to establish, exercise or defend legal claims.

International transfers

Some service providers may process personal information outside the United Kingdom. Where UK data protection law requires safeguards for a restricted international transfer, we will use an applicable adequacy arrangement or appropriate contractual safeguards. For further details about relevant transfer safeguards, email info@productivitykick.com.

How long we keep information

If you enquire but do not become a client, we retain your enquiry and related correspondence for up to 12 months, unless a legitimate or legal reason requires longer retention. This applies to records in our Zite database and the copies received by email. If you become a client, relevant records may be kept for the duration of our relationship and afterwards where required for accounting, tax, contractual or legal purposes. We delete or securely dispose of information when no longer needed.

Cookies and analytics

With your consent, we use Google Analytics 4, a service provided by Google, to understand how visitors use our website: for example, which pages are visited, how people arrive at the site, and the type of device and browser used. We use this information in aggregate to improve the website.

When you first visit, we ask whether you accept analytics cookies, with equally clear options to accept or reject. Until you accept, Google Analytics is not loaded, no information is sent to Google and no analytics cookies are set. If you reject, the website works in exactly the same way.

If you accept, Google Analytics sets two first-party cookies, _ga and _ga_J3P24RW0ZK, which distinguish visitors and sessions and expire after up to two years. Google uses your IP address to estimate your approximate location, such as your country or city; Google states that it does not log or store individual IP addresses from UK, EU or Swiss users. Google may process analytics information outside the United Kingdom, including in the United States (see “International transfers”). Analytics event and user data is retained for up to 14 months, depending on our account settings.

We remember your choice for 12 months by storing it in your browser’s local storage, not in a cookie; this is needed to respect your choice and is not used for tracking. You can change or withdraw your choice at any time using “Manage cookie preferences” below. If you withdraw consent, Google Analytics stops on our website and its cookies are deleted from your browser. You can also block cookies in your browser settings or install Google’s Analytics opt-out browser add-on.

We do not use advertising trackers or behavioural profiling tools. Our website’s fonts are served from our own domain, so no font provider receives your details. Our Zite contact form may use cookies or similar technologies for its operation or security. We will review the use of these technologies if our website, contact form or service providers change.

Information you need to provide

You can browse our website without submitting an enquiry. If you choose to contact us, you must complete the fields marked as required so that we can receive and respond to your message. Optional details are voluntary. You are not legally required to send us an enquiry.

Automated decision-making

We do not use automated decision-making or profiling to make decisions about individuals that have legal or similarly significant effects. Decisions about enquiries and potential client relationships involve human judgement.

Your rights

Depending on the circumstances, UK data protection law gives you rights to access, correct or erase your personal information, restrict or object to processing, and request data portability. Where processing relies on consent, you may withdraw it at any time. Contact info@productivitykick.com to make a request. We normally respond within one month, subject to applicable legal rules. You can also complain to the Information Commissioner’s Office (ICO). You do not need to contact us before making a complaint.
