The challenge

For our client, managing hundreds, potentially thousands, of supplier agreements created a substantial administrative burden.

Previously, information was maintained in spreadsheets, contracts were prepared manually in Word, and supporting documents were assembled separately. Everything then had to be laboriously transferred into DocuSign for electronic signature.

This repetitive process consumed countless hours and created opportunities for mistakes.

The business needed a faster, more reliable approach.

The solution

productivity kick developed an integrated contract-management system using Airtable, DocsAutomator and Make, with DocuSign handling electronic signatures.

The principle: enter information once and let it flow automatically through the entire contracting process.

Airtable provides a central source of truth for supplier information, contractual arrangements, schedules and supporting documentation.

How it works

  1. Manage supplier information centrally

Supplier details, services, dates and contractual information are maintained in Airtable, eliminating the need to duplicate information across multiple documents.

  2. Generate complete contract packages

With a button click, the system generates a professional PDF contract and the supporting schedules required for each supplier.

For example, where a supplier provides services across three programmes, the system generates three individual date charts alongside one consolidated contract.

  3. Send for electronic signature

The contract and supporting documents are assembled into a single DocuSign envelope and sent to the supplier for signature, without manually preparing and uploading each document.

  4. Track signing progress

Signing status is automatically synchronised with Airtable, providing visibility of outstanding and completed agreements.

  5. Store completed agreements

Once signed, the completed agreement is automatically saved back to Airtable alongside the relevant supplier record.

The business impact

Countless hours of administration eliminated

Contract preparation, document assembly and electronic-signature workflows that previously required extensive manual effort are now automated.

Fewer mistakes

Information is entered once and reused throughout the process, reducing repetitive data entry and inconsistencies.

Better visibility and control

Contract preparation, signing progress and completed agreements are managed centrally.

Built to scale

The system can support hundreds or thousands of supplier agreements without a corresponding increase in manual administration.

The bigger picture

This project demonstrates how connecting business data with document generation and electronic signatures can transform an administrative process.

Instead of repeatedly transferring information between spreadsheets, documents and signature platforms, the business now has one coordinated workflow — from initial supplier record to signed agreement.

Less administration. Fewer mistakes. More time for productive work.
