AIRTABLE TO ZITE MIGRATION

Thinking about moving from Airtable to Zite?

Keep what works. Improve what doesn’t.

Let’s talk about your business

Airtable is a powerful platform. But as a business grows, rising user costs, a patchwork of separate apps or the limits of existing workflows can start to get in the way.

Zite may offer an alternative: custom business applications that bring data, interfaces and automation together. Migrating an established business system, though, takes more than transferring tables.

I can help you assess whether a migration makes sense and, where it does, design and build the replacement.

THE OPPORTUNITY

Why consider moving to Zite?

One application, fewer moving parts

Zite combines a database, user logins, screens and workflows, including email and PDF generation, in one application. That can reduce the number of separate tools you rely on, although some integrations will usually remain.

An unlimited-user pricing model

Zite’s published plans don’t charge per user; Airtable’s paid plans charge for everyone with edit access. Zite plans still have limits on records, workflow runs and features, and some user controls need a higher tier, so the saving depends on your situation.

Software designed around your processes

Instead of fitting your work into bases, views and interfaces, a Zite application can be shaped around how your team works, with screens and access tailored to each type of user.

Room to grow

A custom application can evolve with your business. New processes, screens and users can be added as you need them, within the limits of your Zite plan.

What happens to your existing Airtable system?

An established Airtable system is usually much more than a set of tables. It may include:

  • Tables and linked records
  • Formulas
  • Automations
  • Interfaces
  • Permissions
  • External integrations
  • Business-critical workflows

Each of these needs to be understood and assessed before anything is moved.

A successful migration isn’t about recreating Airtable in Zite. It’s about building a better system while protecting the processes your business relies on.

How I approach an Airtable-to-Zite migration

  1. Understand your existing system

I review your bases, automations, interfaces, integrations and permissions, and talk to the people who use them, to map how work really flows.

  2. Decide whether migration makes sense

We compare the options, including improving what you already have, and weigh up the costs, risks and effort before you commit to anything.

  3. Design the replacement

Your requirements are mapped to a new data structure, screens, workflows and access rules, and any changes to how things work are agreed in advance.

  4. Build and test

The application is built and tested using appropriate data and realistic workflows, with input from the people who will use it.

  5. Move forward with confidence

Data is transferred and checked in a planned, controlled switchover, and your team is supported as they start using the new system.

What can be migrated?

Data and relationships

Tables, records and relationships can often be migrated, although the process depends on how your existing Airtable system is structured. Field types, formulas and calculated values may need to be redesigned rather than copied.

Automations and workflows

Automations and scripts are reviewed one by one and rebuilt as Zite workflows, as integrations or as a simpler process.

Interfaces and user access

Interfaces are redesigned as application screens, and who can see and do what is mapped to the access controls available on your Zite plan.

Integrations

Each connection is assessed individually. Some can use Zite’s built-in integrations or API; others may still need a service such as Zapier or Make.

Not every Airtable feature has a direct Zite equivalent. What can be moved, what needs rebuilding and how much effort that takes depends on how your system has been built. Zite can also work with data in an existing Airtable base, so in some cases a gradual transition is possible.

HOW I WORK

Your business comes first. Always.

I start with your business rather than the software: what slows your team down, what must keep working and what would make the biggest difference. You work directly with me from the first conversation, and the aim is always less administration and more productive time.

Let’s find out whether Zite is right for your business.

If you’re considering moving away from Airtable, we can start by looking at what you’ve already built, what’s working and what you’d like to improve.

You don’t need to have decided on a migration before getting in touch.
